Privacy

Short version: this site runs its own page-view counter instead of third-party analytics, stores an email address only when you type one in, keeps a recipe book on the server only for people who ask for an account, uses Etsy for most sales and Stripe for card payments, and loads one third-party script, the Pinterest Tag, only if you accept cookies. Nothing here is sold or shared for advertising.

Who is responsible

The controller for the data described here is Michael Price Robinson, trading as PrepSheet, a sole trader based in the UK. Postal address: Lytchett House, 13 Freeland Park, Wareham Road, Poole, Dorset, BH16 6FA, United Kingdom. Email: chef@getprepsheet.com, which is the fastest way to reach us about your data. What is collected, and why

Page views

Each page load records the page path, the date, a shortened one-way hash of your IP address mixed with a secret value, and your browser's user-agent string. The hash cannot be turned back into your address and is only used to count distinct daily visitors; the detailed log keeps just the most recent few hundred page loads before older entries are deleted. The counter also keeps the campaign tags (utm parameters) of the link you arrived by, if there were any, and, only if you have accepted cookies, a random session token and those campaign tags held in your browser's session storage so they carry across pages; the browser discards them when the tab closes. If you have not accepted, they are kept for the current page only and nothing is stored.

Email addresses

If you put your email address into a form on this site, the address is stored with the time, the page or campaign it came from and the IP address the form was sent from, and it is used to send you what the form offered. The IP address is kept only as a record of where the sign-up came from. You can ask to be removed at any time by emailing chef@getprepsheet.com or through the contact page.

Accounts and the saved recipe book

The recipe tool works with no account at all, and that is still the default. If you ask it for a sign-in link, this site stores your email address, the recipe book you save (recipe names, ingredients, quantities and prices — the same information the tool already kept in your browser), the times you asked for a link and signed in, and a shortened one-way hash of the IP address the request came from. The hash is there to stop the form being used to send sign-in mail to somebody who did not ask for it; your address itself is not stored in that log. Sign-in links are held only as a hash, expire after 20 minutes and work once.

Why: so your recipe book follows you from the phone in the kitchen to the computer in the office. It is kept until you delete the account, and you can do that yourself: the Delete account button on the recipe tool removes the book, the account and every sign-in session straight away (the copy in your own browser is left alone; see What is kept after you delete an account, below). You can also ask by emailing chef@getprepsheet.com. Your recipe book is never sold and never shared; the outside companies involved in an account are the provider that delivers the sign-in email and Stripe when you buy scan pages or use another card checkout (this site stores purchase, checkout and payment identifiers to confirm payment and credit your account; card details go to Stripe, not to this server), plus Anthropic, the AI provider that reads invoice photos and PDFs you choose to upload to the capture tool, below.

Using PrepSheet inside AI assistants (ChatGPT, Zapier and other MCP apps)

PrepSheet offers a free connector, an MCP server at https://getprepsheet.com/mcp, which AI assistants and automation tools can call to cost a recipe, work out GP, build a prep list or look up PrepSheet's starter recipes and menus. It needs no account and no sign-in.

• What we receive: the values the assistant sends to a tool, such as ingredient names, pack prices, quantities, portions, target percentages and prep items, plus the technical details of the request (IP address and time).
• What we do with it: we use the values only to calculate the result and send it back. We do not store them, do not link them to you or to any PrepSheet account, and do not use them to train any model.
• IP address: we keep it in memory for about one minute, only to stop the connector being overloaded (rate limiting), and we do not write it to a log.
• The assistant itself: the AI assistant or automation platform you use (for example OpenAI or Zapier) handles your conversation under its own privacy policy. PrepSheet sees only the tool calls the assistant sends us, not your chat.
• No account data: the connector cannot read or change a saved recipe book, an account, purchases or invoice scans.

What is kept after you delete an account

When you delete your account, Michael Price Robinson, trading as PrepSheet, keeps two small things and nothing else from it:

• A one-way hash of your email address. Your address is put through a keyed, one-way function that turns it into a fixed string of characters. The hash cannot be turned back into your email address, and it is stored on its own: not with your name, recipe book, payment details, IP address or any other account record.
• A count of founding-member places used. This is a single running number (for example, “18 of 50 places taken”). It does not record who took a place, and nothing in it is linked to you.

Why. The hash lets us check one thing: whether an email address being used to start a new free trial of PrepSheet Plus has already had one. Without it, anyone could delete their account and sign up again for repeat free trials. The founding count makes sure the limited founding offer is honoured as advertised: places already taken stay counted, so the offer closes when we said it would and nobody is promised a place that does not exist.

Lawful basis. We rely on legitimate interests (UK GDPR Article 6(1)(f)): preventing misuse of the free trial and running the founding offer fairly. We have weighed this against your privacy. The hash cannot be read back as your address, it is used for nothing else, and the count holds no personal data at all.

What it cannot be used for. We cannot use the hash to find out your email address, to identify you, or to contact you, and we will not try. It is never used for marketing, never shared and never sold. The only thing it can do is answer “yes, this address has had a free trial before” if the same address is used to sign up again. If that happens, you can still create an account and subscribe; you just won’t get a second free trial.

How long. The hash is deleted automatically 24 months after the account was deleted. The founding count is kept for as long as PrepSheet Plus exists, because it is just a number and not about anyone.

Your rights. You can object to us keeping the hash by emailing chef@getprepsheet.com. If you do, we will delete it unless we have a compelling reason to keep it (for example, that address has been used repeatedly to get free trials). Payment receipts that Stripe and our accounts need are covered separately under “Invoice and receipt capture” and “How long it is kept”.

Invoice and receipt capture

When you upload an invoice or receipt, its photo or PDF is sent to Anthropic through the Claude API to extract the supplier, date, items, pack sizes and prices. PrepSheet processes the uploaded file in memory and does not save a copy of it. We keep the extracted text, your review choices and the scan-credit record with your account. You review the numbers before applying any change to your recipe book.

Anthropic handles the uploaded content under its commercial API data-retention policy; PrepSheet's decision not to save the file does not mean the provider has no retention. Account deletion removes the extracted invoice records, available credit balance and detailed scan-use history held by PrepSheet. Limited payment receipts remain for reconciliation: purchase and Stripe identifiers, amounts, page quantities, payment status and refund or dispute adjustments. These records are detached from the deleted PrepSheet account and do not contain your email address, invoice images or extracted invoice text. Stripe retains its own payment records under its privacy policy.

Buying a template

Most sales go through Etsy under Etsy's privacy policy; this site never sees your payment details. Where a direct card checkout is offered it is run by Stripe: card details go to Stripe, not to this server. This site keeps an order record with your email address, the product, the amount, the country reported by Stripe and the campaign tags of the visit, so that a download can be re-sent and the accounts can be kept.

Pinterest Tag

If you click Accept on the cookie banner, pages load the Pinterest Tag, a script from Pinterest, so that Pinterest can measure whether its pins send visitors here. It sets cookies (for example _pin_unauth) and Pinterest processes that data under Pinterest's privacy policy. Our lawful basis is your consent. If you click Reject, or do not choose, it is never loaded, and the site works exactly the same.

Cookies and similar storage

Nothing that is not strictly necessary is stored on your device unless you click Accept on the cookie banner. Accept and Reject are equal choices, and the whole site works whichever you pick.

• Only with your consent: the Pinterest Tag cookies (see above), and the page counter's session-storage token and campaign tags (see Page views).
• Strictly necessary, always: ps_consent remembers whether you accepted or rejected, so the banner does not keep asking; it lasts 6 months. Signing in to the recipe tool sets ps_session, which holds a random session identifier and nothing else; signing out or deleting the account removes it. The recipe tool and calculators keep the recipes and prices you enter in your browser's own storage, because that is the tool you asked for. The only other cookie the site can set is a flag the owner uses to exclude their own visits from the counter.

You can change your mind at any time with Cookie settings, which is also in the footer of every page. Rejecting after accepting stops the Pinterest Tag and removes the cookies it set on this site.

Free tools and downloads

The calculators and the recipe tool run in your browser; the recipes you save stay in your browser's own storage and are never sent to this server unless you sign in for an account, and then only the recipe book is stored (see above). The free templates are direct downloads with no email gate.

Who else sees it

Etsy (shop and checkout), Stripe (card payments, including one-off scan-page packs), Pinterest (the tag above, only if you accept cookies), Amazon (only if you follow one of the labelled affiliate links), the provider that delivers this site’s email (newsletter and sign-in links) and the hosting provider the server runs on, plus Anthropic when you choose to use invoice capture. Nobody else, and nothing is sold, rented or shared for advertising.

How long it is kept

Daily visitor hashes are per day and useless afterwards. Email addresses are kept until you unsubscribe or ask for removal. Sign-in links expire after 20 minutes and sign-in sessions after 90 days. An account, its recipe book and any subscription identifiers are kept until you delete the account. After an account is deleted, a one-way hash of its email address is kept for 24 months to stop repeat free trials, then deleted automatically. The count of founding-member places used is kept for as long as PrepSheet Plus runs and contains no personal data. Order records are kept for as long as the accounts need them.

Your rights

Under UK GDPR you can ask what is held about you, have it corrected or deleted, or object to it being used. Ask by email at chef@getprepsheet.com or through the contact page: there is one person reading it, so expect a reply from a human rather than a form. You can also complain to the ICO at ico.org.uk.
